The very first time you open the system, you'll see the Setup Wizard. This runs automatically and only appears once, so take your time.

Step 1 — Store Information. Enter your store name exactly as you want it to appear on receipts and reports. Fill in your address, phone number, and email.

Step 2 — Tax and Fee Settings. Enter your local sales tax rate as a percentage (e.g., 8.7 for 8.7%). Also enter your credit card processing fee — check your merchant agreement if unsure.

Step 3 — Opening Float. Enter the cash amount that starts in the drawer each day. Most stores use a standard amount like $200.

Step 4 — Create Your First User. Enter your name, username, and PIN. Keep this PIN secure — the owner account has full access to every feature including voids, refunds, settlements, and settings.
Click Users in the left menu. Your owner account is already listed. Click Add User to create accounts for your staff.

Permission levels:
Owner — full access to everything. Only assign to yourself.
Manager — all daily operations including voids, refunds, settlements, and reports.
POS — clerk level. Can process sales and refunds. Cannot access settlements or dealer data.

Each person should have their own account — do not share PINs. Every transaction is attributed to the correct user. If a staff member leaves, deactivate their account (preserves history) rather than deleting it.
Click DealersAdd Dealer. For each dealer enter: full name, contact info (email and phone), commission rate (e.g., 30% means the store keeps 30¢ per dollar), and monthly booth rent if applicable.

Commission rates can vary per dealer. Once a sale is recorded, the commission used at that time is locked to the invoice — changing it later only affects future sales.

If a dealer rents multiple booths or display cases, add those under the Booths section. Each can have its own rent amount. Set up all dealers before adding inventory.
Click InventoryAdd Item. For each item enter: name/description, selling price, dealer (select from dropdown), and optionally category, booth location, and a detailed description.

Items must be in the system before they can be sold. Any item not in inventory must be added at time of sale — which slows checkout. The more complete your inventory before opening day, the smoother things go.

You can add and edit items at any time. Don't worry about being perfect right away.
If any dealers also work on the floor as paid helpers, set them up in Employees. Click Add Employee, select the dealer, and enter their agreed hourly rate.

Set a recurring weekly schedule (e.g., every Tuesday and Thursday, 4 hours). The system generates work log entries automatically with one click each month.

Labor credit is calculated at settlement: hours worked × hourly rate is deducted from the store's portion of their check. This section is only visible to owners and managers.
The dashboard shows today's sales total, invoice count, and payment breakdown at the top. Dealer tiles show each dealer's running balance. The recent invoices list lets you spot anything unusual quickly.

Start of day: Confirm the opening float is in the drawer. Log in and verify the dashboard looks normal. Make sure receipt and laser printers are loaded.

During the day: Look up any problem transactions in Invoices immediately. Approve voids — only managers can void.

End of day: Review the End of Day sheet with the closing clerk. Check for cash variance, print the closeout sheet, and log out before leaving.
Click Settlements and select the date range (usually the 1st through the last day of the month). The system calculates for each dealer:

Gross Sales → minus Commission → minus Sales Tax → minus CC Fees → minus Booth Rent → minus Labor Credit = Net Check Amount

Click any dealer's row to see every invoice in the period. Review before issuing. If anything looks wrong, go back to Invoices and correct it first — settlements are a report, not a permanent lock. Run the same range again after corrections.
Printing Checks: Click Issue Check on any dealer's row. A window shows the full breakdown and the auto-assigned check number. Select payment method: Check, Cash, or Direct Deposit.

For checks: load pre-printed voucher stock in your laser printer, then click Print Check & Issue. The system prints payee, date, amount in numbers, amount in words, memo, and check number. A detachable stub shows the full breakdown for the dealer's records.

QuickBooks Export: After all checks are issued, click QB Desktop to download an IIF file, or QB Online to download a CSV. Import each into QuickBooks using the standard utilities. Each check becomes a proper transaction in your books.
